Asset Inventory Audit (AIA)

Implementation and/or review process to capture, update and record details of your organisation’s computer-related inventory.

"Maintaining an accurate and complete record of our computer-related equipment allows us to
efficiently manage upgrades necessary to keep up-to-date with advances in technology as well as
providing input to the budgeting process when estimates are prepared for software upgrades.
An accurate register is also invaluable when used with disaster recovery planning and technology
strategic planning sessions.
"

Peter Cooke, Managing Director, Cooke Aromatics Pty. Ltd.

Ask yourself the following questions:

Do I have a central register that is accurate, complete, reliable and regularly updated?
Does each entry in this register specify the equipment’s configuration, attributes and is it
clearly identified by its Serial Number?
If I need to determine what costs are involved in upgrading all my equipment to a new version
of the operating system, can I identify the PCs that must be upgraded or replaced to support this
new release of the software?
Are the more powerful machines installed used by those employees who need that equipment
most?
In the event of theft or a disaster event such as fire, can I adequately inform the police with
relevant particulars, as well as my insurance company when I submit my claim?
Can I adequately identify the User(s) of each machine?

There are many reasons why you should have such a register always accessible.  Organisations are
constantly tasked with upgrading, migrating and managing their IT hardware and software assets.  However,
many organisations do not have technical staff available to keep this asset register up-to-date and even if it has,
day-to-day operational priorities tend to relegate this vital task to a “best effort” basis.

Memuta can help you design and implement an efficient hardware inventory management system that is easy to
manage and simple to use.  We will perform the initial data capture of the essential statistics of each piece of
equipment, verify the accuracy of the information captured and provide you with a comprehensive report of your
current inventory.  We will also provide training for two (recommended) members of your staff to maintain the
information as part of their job description.  Alternatively or in addition,
Memuta can regularly visit your site(s) and
perform an audit of the system.

When implementing a new hardware inventory management system, Memuta uses specialised and proven
software used by over one million users globally.  This software is purchased and licenced on a per-PC basis,
installed on server(s), workstations and standalone PCs and operates in the background without individual User
intervention.  The application collects, analyses and provides reports on installed hardware and software assets.
(The latter is most useful when combined with one of
Memuta’s other services, the audit of license compliance of
all the business (and other) software used by your organisation.)  This comprehensive accounting of IT assets gives
managers a clear perspective of what equipment is installed which reduces support costs and simplifies migration
planning.

An accurate hardware inventory register is a valuable information database to support:

Strategic business planning decisions;
Financial planning and budgeting exercises for maintaining hardware and software at state-of-the-art levels;
Software Compliance audits to ensure that all software used by your organisation is properly licenced and registered;
Disaster Recovery Planning procedures and processes;
Business Continuity Planning procedures, processes and external vendor negotiations;
Centralised or decentralised asset inventory tracking by location.
